AAFS is hiring a Grant Accountant to support grant budgeting, reimbursement, and compliance across federal, state, and private funding sources.
This role works closely with Finance and Program teams to ensure accurate tracking of grant expenditures, timely reporting, and audit readiness.

JOB SUMMARY

The Grant Accountant is responsible for the financial administration of federal, state, and private grants. This role manages grant budgets, tracks expenditures, prepares reimbursement requests, and ensures compliance with grant regulations and nonprofit accounting standards.

The Grant Accountant works closely with Finance, Program, and Development teams to ensure fiscal accountability, accurate reporting, and audit readiness. All duties are performed in alignment with AAFS’s mission and fiduciary responsibilities.

ESSENTIAL DUTIES & RESPONSIBILITIES

Grant Accounting & Compliance

  • Prepare and maintain grant budgets and budget revisions.
  • Track grant expenditures and ensure compliance with funding requirements.
  • Prepare reimbursement vouchers and financial reports.
  • Maintain actual budget reconciliations.
  • Support compliance with OMB Uniform Guidance (2 CFR 200) and Illinois GATA.

Financial Reporting & Payroll Support

  • Support payroll allocations and documentation tied to grant funding.
  • Monitor grant accounts receivable and revenue variances.
  • Compile documentation for audits and funder monitoring.

Internal Controls & Ethics

  • Follow all financial policies and internal controls.
  • Maintain strict confidentiality of grant and financial information.
  • Escalate compliance concerns Finance leadership.

EDUCATION & EXPERIENCE

  • Associate or bachelor’s degree in accounting, Finance, or related field preferred.
  • Two to Four (2–4) years of general accounting experience.
  • Experience with accounts payable, accounts receivable, and payroll preferred.
  • Nonprofit accounting experience a plus.

KNOWLEDGE, SKILLS & ABILITIES

  • Working knowledge of GAAP.
  • Proficiency in accounting software (QuickBooks Online preferred) and Microsoft Excel.
  • Strong attention to detail and accuracy.
  • Ability to manage deadlines and multiple priorities.
  • Ability to handle sensitive information with discretion.
  • Strong written and verbal communication skills are important.
