JOB SUMMARY: The Family Advocate at Arab American Family Services is responsible for providing support and assistance to individuals and families in need, helping them access resources, and navigating social services. This role involves assessing client needs, developing care plans, and working collaboratively with other service providers to ensure clients receive comprehensive support. The Family Advocate will assume all other duties as assigned that contribute to the mission, vision, and values of the AAFS. Position Summary
Arab American Family Services (AAFS) is seeking a dynamic, detail-oriented Event & Grant Compliance Coordinator to lead the planning and execution of high-impact events and ensure organizational alignment with grant requirements. This dual-role position supports the agency’s mission through seamless coordination of agency-wide events and oversight of grant-related compliance, reporting, and support for department supervisors. Key Responsibilities
Event Planning & Coordination (50%) • Plan, coordinate, and execute organizational events from conception through completion. This includes organization gala, special events, project events, program events. • Ensure all events align with budget, mission, and strategic priorities. • Research, negotiate, and secure contracts with vendors (catering, venues, entertainment, technology). • Schedule, coordinate, and communicate with speakers, staff, and volunteers. • Supervise all logistical elements (venue setup, materials, invitations, day-of operations). • Oversee on-site event execution, troubleshoot issues in real-time, and ensure safety protocols. • Conduct post-event evaluations, collect feedback, and prepare success reports. • Maintain a detailed and updated organizational calendar. • Prepare monthly and quarterly event updates for leadership and Board review. • Ensure all multimedia coverage (photos/videos) is coordinated and archived appropriately. Grant Compliance & Program Oversight (50%) • Monitor grant compliance in collaboration with supervisors and managers across departments. • Support the tracking and achievement of grant-specific goals, outcomes, and activities. • Review and maintain all documentation required for compliance and audit readiness. • Assist in preparing audits, monitoring visits, and reporting deadlines. • Maintain organized digital and hardcopy records for each grant-funded project. • Coordinate routine reviews to ensure fidelity to grant terms and regulations. • Collaborate with Legal and Finance teams to ensure timely and accurate fiscal and programmatic reporting. • Provide departments with templates, tools, and guidance to streamline grant tracking and data reporting. • Support data collection, entry, and analysis to monitor success indicators and reporting accuracy. • Strengthen partnerships with local and state funders, agencies, and stakeholders. Education & Experience
• Bachelor's degree in hospitality management, Nonprofit Management, Public Administration, or related field preferred. • 3+ years of experience in event coordination and/or grant compliance or project management. • Experience in a nonprofit or community-based setting is a strong advantage. JOB SUMMARY:
The Staff Accountant is responsible for maintaining accurate financial records and performing general accounting duties. This position supports accounts payable and receivable, payroll processing, financial reporting, and grant management. The role requires strong analytical skills, attention to detail, and a commitment to accuracy. The Staff Accountant will collaborate with internal teams to ensure financial compliance and efficiency. General Accounting & Financial Reporting:
- Manage transactions related to accounts payable, accounts receivable, payroll, and grant-specific financial requirements.
- Reconcile bank and credit card accounts.
- Prepare and process incoming payments via check, credit card, and electronic payments.
- Receive, process, and reconcile statements for customers and vendors.
- Generate and review monthly financial reports with direction from Finance leadership.
- Prepare and make bank deposits, including remote scanning.
- Ensure compliance with internal accounting procedures and financial regulations.
- Maintain accurate records, including ledgers, journals, receipts, and invoices.

Grants Management:

- Assist in preparing fiscal year funder budgets in collaboration with Program and Development Leads.
Payroll Administration:
- Assist in processing payroll and ensuring accuracy of payroll records.
- Review staff timesheets and ensure paid time off (PTO) is accurately recorded.
- Update HRIS software as directed for new hires, terminations, and employee changes.
OTHER DUTIES & RESPONSIBILITIES:
- Attend required internal meetings, training sessions, and organizational events.
- Perform other duties as assigned.
EDUCATION AND EXPERIENCE:
Minimum Education:
- Associate or bachelor’s degree in accounting, finance, or a related field preferred.
Minimum Experience:
- One to three years of general accounting experience.
- One to three years of experience in payroll, accounts receivable, and accounts payable.
- Experience in nonprofit accounting is a plus.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Strong understanding of GAAP accounting principles.
