Position Overview
Arab American Family Services (AAFS) is seeking a highly organized and proactive Department Coordinator to support the operations of our Behavioral Health team in Worth, Illinois. This critical role ensures the smooth execution of program activities, maintains grant compliance, and fosters efficient coordination across daily functions. The ideal candidate is a detail-oriented multitasker with strong administrative capabilities and a passion for serving the Arab American community.
Key Responsibilities
Operational Coordination
- Manage daily scheduling and coordination for therapists and peer specialists using Microsoft Outlook.
- Oversee office logistics, including assigning cleaning rotations, managing lunch schedules, and ensuring uninterrupted service coverage.
- Process client referrals via Google Forms, schedule intake appointments, and communicate assignments to clinical staff.
- Respond to phone inquiries, return calls, manage voicemails, and maintain timely, professional client communication.
Program & Event Management
- Maintain up-to-date calendars for departmental events such as workshops, webinars, and community engagement activities.
- Conduct client outreach to promote events and monitor RSVPs.
- Coordinate with external partners to plan and implement co-hosted programs and initiatives.
Grant Compliance & Reporting
- Track and document grant deliverables, ensuring alignment with program scopes and timelines.
- Prepare and submit quantitative reports, including participant attendance and outreach statistics, using platforms such as GovGrants and Smartsheet.
- Draft qualitative narrative reports capturing successes, ongoing challenges, and areas requiring support.
- Represent the department at funder meetings with entities such as Cook County Health and the Illinois Department of Public Health.
Administrative Oversight
- Maintain accurate and up-to-date records of client services, event participation, and grant-related metrics.
- Ensure adherence to agency policies and documentation standards across all department activities.
Job Specifications
Qualifications
- Education: Bachelor’s degree in Public Administration, Social Sciences, Business, or a related field.
- Experience:
- Minimum of one (1) year of experience in program coordination, administrative support, or grant management (nonprofit experience preferred).
- Proficient in Microsoft Office Suite, Google Workspace, and virtual meeting platforms (e.g., Microsoft Teams).
- Skills:
- Exceptional organizational, time management, and multitasking abilities.
- Strong written and verbal communication skills for client interaction and interdepartmental collaboration.
- High attention to detail with a focus on data integrity, grant reporting, and compliance.
- Familiarity with behavioral health terminology and community-based resources is a plus.
Supervision
- Reports directly to the Behavioral Health Program Director or Clinical Supervisor.
